| Conditions of Hire FOR FACILITIES AT VIABLES

Viables Community Association is committed to supporting within its vicinity the prevention of crime and disorder, public safety, the prevention of public nuisance, and the protection of children from harm. 1) Rooms shall not be used for any purpose other than that stated in the Hirer’s application. 2) The Main Hall is licensed for a maximum of 200 people; the Four Lanes Room for 60; both rooms hired together also 200 people. 3) From initial day of booking, the Community Association will reserve facilities for a period of 14 days. Reservations must be confirmed by returning the necessary Hiring Deposit or full payment as requested. By making payment, you will be accepting these terms and conditions. . 4) No refund of hiring deposit charges can be made in the event that the Hirer cancels the booking. 5) The balance of the hiring fee is payable one month before the date of hire. Any Hirer paying by cheque which is subsequently dishonoured is liable for the additional charges incurred by the Association. 6) A Security Deposit is also required which is payable with the final balance. This will be returned to the Hirer within 10 working days if there is no damage to the facilities (the halls, toilets and immediate surroundings) or additional cleaning costs incurred. We will notify the Hirer of any such costs incurred, which will be deducted from the Security Deposit. If the amount is in excess of the Deposit, then a separate invoice will be issued for the outstanding balance. 7) If the Hirer cancels the booking less than one calendar month before the date of hire, the full charge will become payable. 8) At the end of the booking, the Hirer must ensure that all their property is removed and the area left in good order. Any tables and chairs used should be wiped clean and returned to their place. Rubbish should be placed in the bin compound at the rear of the halls. 9) Hirers should allow for their preparation and clearing up within the period of hire. The Bar will end at least 45 minutes before the end of hire, and at 11.00pm for a Midnight finish. Any Disco/Band must also be cleared away within the period of hire. We recommend allowing 45 minutes. 10) No alterations or additions may be made to the building, lighting or electrical systems without the prior consent of Viables Community Association. In particular, no staples, sellotape or White-Tack etc may be fixed to the walls. Blu-Tack only may be used. 11) We reserve the right to refuse or cancel any hiring at any time without compensation and return any monies already received. All bookings are accepted subject to the requirements imposed by the Performing Rights Society and/or the Phonographic Performance Society. 12) Equipment and appliances brought onto the premises by Hirers’ (eg: kitchen and disco equipment) must meet current Health & Safety legislation. No special effects may be used on the premises ie: pyrotechnics, strobe, lasers, smoke, real flame or firearms. 13) Viables Community Association does not hold itself liable for any loss of or damage to the property of the Hirer or his/her invitees. Cars must be parked in designated parking bays only and are at the owner’s risk. 14) Hirers are advised to cover their own legal liabilities and to ensure that they and their suppliers eg discos are fully covered for any subsequent loss or damage caused by the failure of items and appliances brought onto the premises . 15) Our facilities at Viables Community Centre are covered by a Premises Licence. A condition of this Licence is that Hirers must undertake not to sell intoxicating liquor on the premises and to indemnify Viables Community Association against any claims or liability which arise from a breach of this condition. Under the provisions of the Licensing Act 1964, it is an offence for persons under 18 years of age to buy or attempt to buy, take away or consume intoxicating liquor on the premises. It is also an offence to send any person under 18 years to buy or attempt to buy intoxicating liquor on the premises for consumption by persons under 18 years. If a bar is required, it must be approved by the Community Association. 16) If a bar is not required, alcohol may only be provided and consumed free of charge on the premises with the Association’s prior written agreement, and in line with the above provisions of the Licensing Act 1964. 17) It is against Local & County Authorities’ regulations for any temporary advertising signs to be placed outside the boundaries of the Craft Centre (either in the locality or on highway ground). The Hirer agrees, therefore, that these rules are understood. 18) Fire Prevention Act: The Hirer, or a responsible person nominated by him/her (and over 21 years of age) shall be in charge of and present in the premises at all times, when members of the public (the Hirer’s guests) are present. The Hirer must ensure they are familiar with the enclosed instructions in the case of fire. Viables Community Association
